It took more than 8 hours, but I finally got my hotel confirmation for Comic-Con. It wasn’t one of the 12 I’d requested this morning, but it’s in my price range, relatively close, and was actually #14 on the list we put together last night.

All this despite the fact that I put the request in within 5 minutes of the system going online. That part was smooth, and judging by the comments on Twitter and at The Beat, it went smoothly for most people.

Then came the waiting.

On one hand, it was better because I could actually do things — like, y’know, work — instead of sitting there hitting refresh on the browser and redial on the phone for two hours. On the other hand, instead of two hours of active frustration, it was eight hours of wondering whether they had lost my info, or whether I had mistyped my email address, or whether they had actually run out of rooms in the first five minutes and hadn’t gotten around to telling me. A confirmation number for the request itself would have gone a long way toward making me confident that I was in the system.

Later posts on Twitter, and later comments at The Beat, reflected the growing sense of frustration among congoers — and anger as they were assigned hotels that weren’t even on their list.

Order

It seems that not everyone’s requests were handled in the order received. I saw people who had received confirmation hours before I did, but who had submitted their requests a few minutes later. My guess is that Travel Planners was taking two passes through the queue: one pass to handle the requests that they could fill based on people’s actual choices, then one pass to handle the requests where all the preferred hotels were full. Even that doesn’t quite track, though, so I’m not sure what was really going on.

Edit: Katie suggested that they might also be prioritizing based on how many nights you tried to reserve. I was only reserving three nights, so it sort of makes sense that they might give more weight to someone trying to reserve four or five.

Lessons to be Learned

As with the convention’s struggle with crowding, every year they solve one problem only to discover another lurking behind it. A lot of people have compared this year’s process to a lottery, but really, it actually shifted the advantage from luck to typing speed.

Think about it: For the last few years, everyone has had to try to get through, repeatedly, over a period of several hours. Those lucky enough to make a solid connection would then make a reservation and leave. You could start at 9:00 and get through at 9:05 or 11:00, but there really wasn’t any sort of strategy you could apply other than trying multiple avenues at the same time.

Now? Everyone logs in at 9:00, fills out a form immediately, and submits it. Whether you submit your request at 9:05, 9:10 or 9:15 has nothing to do with luck. Instead, it has to do with whether you made up a list beforehand, how long it takes to enter your information, and how much time you spend verifying it before clicking that button.

In that way, it’s actually less of a lottery than it used to be!

San Diego hotel rooms for Comic-Con International go on sale tomorrow morning at 9:00 AM Pacific Time. Because they’ve sold out in a matter of hours the last few years — or, more precisely, because they’ve overwhelmed the reservation system while doing so — Travel Planners is instituting some new policies and a new procedure.

Last December they announced that they would require a deposit at reservation time, and a cut-off point in May after which it would no longer be refundable. This should help cut down on some of the “just in case” speculating that always happens. (Previously you had to provide a credit card when making the reservation, but they didn’t charge it.)

As for the procedure, here’s what used to happen: You would search for hotels, get a list of those that have rooms available, enter your name and contact info, then enter your credit card and get immediate confirmation. At every step, the server would be slow, and there was a good chance that you would have to start over. Yes, it would even fail at the last step.

The new scheme is wildly different: Instead of searching for a hotel, you’ll be asked to enter a list of up to 12 choices, in order of preference, and submit it. A few hours later, they’ll send you an email to confirm what you’ve gotten.

My first thought: this is exactly how it worked for me last year, when I got through on the phone instead of online. It’s also how reservations by fax used to work.

It’s annoying not to have instant feedback of course, but I suspect one of the main reasons the system breaks down is that it’s trying to handle so many complete transactions simultaneously. This way, the only part running “live” is collecting requests. Once those are all in, they can process them at whatever speed the reservation system can actually handle.

Plus, if they really want to minimize the load on their website, they can put everything on one page and minimize the number of graphics and scripts. Every image you have to load slows the page down. Every new page you have to load is another chance for the process to break down completely. When designing a web application, there are times to emphasize looks, there are times to emphasize convenience for the user, and there are times to emphasize simplicity in the actual process. This is one of the latter.

I guess we’ll see how it goes tomorrow morning.

Update: The request process, at least, went surprisingly smoothly. ← I’ve got some thoughts here on the reservation form and how the process worked.

I’m pleasantly surprised that Comic-Con International and/or Travel Planners has gotten their act together for next year’s convention. Before attendance (and hotel rush) went completely insane, they used to send out hotel info with their fall newsletter or in a postcard around December (or maybe January), but over the last two years it’s been pushed later and later. For 2009, they didn’t even announce a date for hotel reservations until February…a month before they opened. The list of hotels went up even later — the day before, IIRC.

The fall newsletter, now an online magazine, went up today, and along with it not just the date for reservations, but a list of hotels…including distance, prices, and shuttle stops. Hotel reservations go online March 18, 2010.

Additionally, they’ve made some interesting changes that may help combat the craziness:

  • Reservations will now require an immediate deposit of one night’s stay
  • Deposits are fully refundable until May 14.
  • From May 15 to June 17, there’s a $75 cancellation fee.
  • From June 18 onward, deposits are nonrefundable.

With luck that’ll cut down on some of the “just in case…” extra reservations, now that there’s an actual financial commitment to it.

We’ve been following singer/songwriter Butterfly Boucher since 2004 — in fact, since the first day we tuned in to the now-defunct Indie 103.1 and heard “Another White Dash” for the first time. We caught her opening for Barenaked Ladies a few months later and picked up her album, then caught her again opening for Sarah McLachlan later that year. Her second album, “Scary Fragile”, finally came out on Tuesday (it’s very good — Katie says it may be the best sophomore album she’s ever heard), and she’s doing a concert tour. She’s playing in Los Angeles most of this month, but timing worked out better for us to go see her in San Diego on Saturday. So we bought some tickets and made a weekend trip out of it.

Old Town San Diego Wagon.We drove down after lunch on Saturday and hit Old Town San Diego on the way in. (More Highlander Grog!) I could swear I don’t remember having trouble finding it before, but the last few times it’s been hard to get to even following a map. At least we managed better than we did in December, when we ended up several miles inland before we could find a place to cross the inlet.

I don’t remember much going on the last time we were there, but this time Old Town was in full-on living history mode, complete with tour guides dressed up in 1800s outfits and a horse-and-buggy ride.

Fancy lobby. Once it was a bank, now it's a hotel.I’d booked the Courtyard San Diego Downtown because it’s literally next door to the House of Blues. It took a while to negotiate the one-way streets, but once we arrived, we stepped inside and were blown away by the lobby. It turns out that the hotel used to be the building for the San Diego Trust & Savings bank. After the bank closed in the 1990s, Marriott bought it and converted it to a hotel. The vault, safe deposit rooms, and other rooms on the first floor became a conference center, and the offices on the upper floors became guest rooms. They’ve preserved as much of the old look of the place as possible, down to keeping the mail slots on the former office doors. (Don’t worry, they’re blocked.)

Clouds and TowersWe ate dinner at Chopahn (6th Ave. near F St.), an Afghan restaurant we first visited during last year’s Comic-Con. It was empty when we got there, which I hope was just because we were there on the early side, because the food is great. Another couple arrived while we were eating, but they were the only people we saw other than the waitress. She had started pushing tables together as if they were expecting a larger party later on.

After dinner we wandered the Gaslamp district for a while. I kept making notes of where various hotels or restaurants were located. Eventually I realized I was basically scouting for Comic-Con next month.

Around 7:00 we made our way to the House of Blues.

Well, I jumped into the fray of the Comic-Con International hotel reservation system and made it across to the other side, getting through by phone after 1 hour and 20 minutes. I never did make it past the “waiting room” page online.

The weird thing about the phone reservation system is that I don’t actually know which hotel we’ve gotten yet. They took my name, contact info and top 3+ choices (I gave them 5), then handed the info to their processing center. They’ll call back (later, I assume, after the rush is over) to let me know which hotel I got. I do have a backup that I reserved directly, but the convention discount is significant, especially when you add up four days.

It was interesting watching commentary streaming by on Twitter (search for “comiccon,” “comic-con” or “comicon”) as people started out commenting, then complaining, and eventually celebrating (after about an hour) when they finally got through. Or really letting loose when the system dropped them.

Update: A reporter interviewed me about the Comic-Con hotel reservation experience. Update (3/20): Here’s the article at the Union-Tribune. I’m not quoted.

Update: I got an email confirming our reservation. It’s farther out than the backup, but it’s ~$100 cheaper (over the course of 4 days – possibly more, depending on how much the other hotel charges for internet access) and there’s a shuttle. Now to weigh ~$100 vs. walking distance and figure out which room to keep and which to free up for someone else who needs one.

Comic-Con International finally announced the opening of this year’s convention block in San Diego hotels: March 19.

This time last year, they’d already gone on sale and sold out.

As recently as three (or maybe four) years ago, they’d have sent a postcard by January. They used to include a full list of hotels in the winter newsletter with distance and prices. I could swear I remember them going on sale in January.

Of course, five years ago you could still book the Little Italy Super 8 only less than a month in advance. Now the discounted rooms are in such demand that they sell out in a matter of hours.

Like last year, they are only selling tickets in advance, so if you plan on attending, you should order them online.

We went to San Diego this weekend for a company event. The drive down on Saturday was quite nice — much faster than any of the times we’ve driven down for Comic-Con, for instance. It took us only an hour and 20 minutes to get to Old Town San Diego, and that was with taking the wrong exit and driving two miles inland just to be able to cross the river.

Old Town San Diego wagon and rockWe had lunch at El Fandango in Old Town, then wandered around the shops for a bit. By now we’ve seen most of the exhibits and museums. But the San Diego House of Coffee and Tea is a must-visit stop, if for no other reason than to pick up some Highlander Grog. We also grabbed some hot coffee to walk around with, since it was gloomy with occasional drizzling. (I later noticed a sign in the Gaslamp area that said “Umbrellas $9.95. When Raining, $19.95.)

Cut-out CactusThey had set up period tents and wagons around the grounds, mostly in the courtyard with the flagpole made from the ship’s mast. One of the shops we visited was the mineral & gemstone store, which I’ve always liked visiting even back when I was a kid. And right up front, they had the hugest trilobite fossil I’d ever seen, around a foot long.

After a few hours, we drove into downtown San Diego and checked into the Omni Hotel. I’d never stayed there before, but it’s highly sought-after among attendees at Comic-Con because it’s right across the street from the convention center. Our room had a view of the end of the convention center, which will shed a little light on the size of the crowds. Continue reading
